Most people use AI as a separate tab, but the real magic happens when AI lives where your data does.
I spent the last week integrating across my entire Google stack — from automating data in Sheets and visual storytelling in Slides to organizing my messy thoughts in Keep. Now, throw in the hands-free curation of YouTube Music, and it’s no longer a chatbot; it’s a productivity powerhouse. Since I have a premium plan for Gemini, Google has unlocked its AI bot across all its Workspace apps, including Slides and Sheets.
Instead of staring at a ‘Click to add title’ box for twenty minutes, I now start my workflow in no time. I can fire up a new presentation, click the Gemini icon in the upper-right corner, and write a text prompt to generate a slide quickly. Now, if you prefer to work from the Gemini web, you can open Canvas and add a detailed prompt, which creates an entire presentation in a few minutes. However, I would still recommend creating and adding slides from the Slides web app.
That way, you can easily import these slides and make small tweaks as per your preferences. Thanks to Gemini, I have officially said goodbye to generic stock photos. Using the ‘Help me Visualize’ panel, I can generate high-quality, on-brand images instantly. If I need a ‘Minimalist 3D render of a golden gear in a dark corporate void with cinematic lighting to match my desk’s vibe,’ I can have it in seconds.
Overall, Gemini does 80% of the heavy lifting, like the structure, design, images, and more. I’m no longer fighting with text boxes; I’m just fine-tuning the message. If you think connecting a music app to an AI is just a gimmick, you are missing the biggest workflow hack of all. Now, I don’t waste time scrolling through playlists anymore; I let Gemini do the job. When I’m diving into a deep-work session in Sheets, I don’t just ask for ‘Focus music.’ I get specific.
I will ask Gemini: @YouTubeMusic play some low-fi beats with no lyrics, strictly under 80 BPM to help me focus. In the future, I would love to see the ability to create playlists with simple prompts right from the web app (that option is already available on YouTube Music mobile apps). I used to spend more time Googling how to write a complex VLOOKUP or QUERY than actually looking at my data. But since connecting with Gemini, I have stopped fighting with syntax and started asking for insights.
It’s like having a senior data analyst built directly into my cells. Create a formula that calculates the month-over-month growth in Column C, but only for rows where the region is ‘North America.’ Gemini generates a formula, explains how it works, and lets me insert it with one click. However, my favorite feature is summarization. If a client or a team member sends me a messy spreadsheet, I ask Gemini to summarize it for me in simple terms, and it does the job without breaking a sweat.
There is also an option to pull specific information from a relevant spreadsheet right from the Gemini web. For example, I can ask ‘Get me the total sales figure for November from the Office-MacBook Pro Spreadsheet,’ and receive an answer without even opening the spreadsheet. That’s neat. I have always been a ‘heavy taker’ of notes, but my biggest struggle was actually using the information I captured.
Connecting Gemini to Keep changed that overnight. Create a packing list for a 3-day business trip to Tokyo, including tech gear and formal wear. That’s not all. I can even use Gemini mobile or web to get specific information from my Keep note. It’s the ultimate time-saver. I can ask Gemini to get my Kitchen inventory from the ‘My Sweet Home’ note and get all the equipment in no time. The possibilities are endless here.
Check out my dedicated post to learn more about Gemini’s integration in Google Keep. You don’t need a complex 20-step automation to see these results. Start small. Connect Gemini to your Keep account for a day, or let it assist in your next Sheets analysis. The ‘steroids’ effect comes after a week or two when you don’t have to switch tabs or manually format a slide. After you experience that seamless flow, backed by the perfect YouTube Music focus track, you can’t go back to the old way of working.
